Information & Responsibilities
This full-time staff position is responsible for managing the operations of the School of Film/Video, as well as supervising the School’s operations team. This position works closely with the Dean and the Director of Technology and Operations. The School’s leadership team also includes the Associate Deans, four Program Directors, and the Director of Technology and Operations. The operations support staff includes Operations Manager, Accounting Specialist, and a four-person operations team. The Operations Manager also works with a full and part-time faculty of 130 outstanding artists and scholars, technical staff, and scores of part-time student employees.
The School of Film/Video fosters and nurtures an environment of innovative and explorative film and video making. The School is at the forefront where new works with new technologies are emerging and shaped as a form of artistic expression and imagination. The School encourages highly motivated students with an independent and experimental approach towards their discipline.
ESSENTIAL JOB FUNCTIONS:
● Supervision of the School’s operations team.
● Responsible for the School’s master schedule and timeline.
● Improves, implements, and documents operations staff workflows, cross-coverage/overlaps, and conduits to technical teams.
● Develop digital file keeping practices and systems.
● With Dean and Director of Technology and Operations, strategizes best practices for the School’s operations.
● Responsible for developing and maintaining the School of Film/Video Operations Handbook.
● Prepare faculty contracts and documentation in consultation with the Dean, Program Directors and the Director of Faculty Contracts.
● Manages student employment.
● Manages the budgets for course support, student grants, events, visiting artists, advertising, and student employment.
● Supports Dean in tracking faculty salary budget.
● Responsibility for student employment, assistantships and related student jobs in the School in collaboration with the Director of Technology and Operations.
● Oversee and coordinate internship opportunities.
● Work closely with the Director of Technology and Operations on budgeting, purchasing, policy, and communications.
● Develop and maintain various means of communication for the disbursement of general School administration, publicity and special event information including social media presence.
● Develop, maintain, and update relevant web information on CalArts websites.
● Work closely with the Technical Support Coordinator developing the Film/Video website, 2 Pop.
● Collaborate with the Institute Communications office and other personnel for promotional and advertising materials.
● Collaborate with Alumni, Advancement, Student Experience, and Enrollment Management offices as needed.
● Participate in the development and implementation of policies and procedures.
● Facilitate weekly School of Film/Video faculty/staff meetings.
● Interface with and support other School of Film/Video staff and faculty as needed.
● Coordinate special events with other staff and faculty.
● Produce end of the year student screenings exhibited at local theaters in the Los Angeles area for all four programs (Character Animation, Experimental Animation, Program in Film and Video, and Film Directing Program).
● Plan, supervise, and coordinate special School of Film/Video campus events including special screenings, symposia, special visitors, etc.
● Supervise production of compilations of student and faculty work for festival and promotional purposes.
● Supervise the School’s national and international travel projects.
● Coordinate and disseminate information about grants and competitions for student projects in collaboration with Associate Deans and staff.
● Coordinate visiting/guest artists, including their use of facilities and equipment.
● Participate in fundraising activities as needed.
● Develop and maintain vendor relationships.
● Work closely with Institute leadership as needed.
● Special Assignments, as designated by the Dean and/or Director of Technology and Operations.
● Member of School’s Executive Committee, attends meetings and manages its communications and record-keeping.
● Other duties as directed.

● Interest and knowledge in digital systems and technology.

● Excellent research, problem solving, and organization skills.
● Experience working independently with minimal supervision.
● Ability to multitask and maintain focus in a fast-paced environment with many interruptions.
● Ability to lift, carry and push equipment up to 50 lbs.
● Proficiency in Microsoft Office, Google and Adobe applications.
● Critical thinking skills required.
● BA or BFA degree or equivalent professional experience in related field.
● Minimum five years experience in an academic, finance, or film production environment.
● Experience with finance and budgeting procedures and software.
● Basic knowledge of film/video production workflows.
● Experience coordinating and planning events.
● 3 years office management experience combined with specialized knowledge of academic policies and procedures.
● Experience with Mac and Windows, Productivity applications.
