Scheduling Rooms & Use Guidelines for Students

General Guidelines

To schedule an event or performance on Institute property, the Event and Performance Checklist must be completed.

Rules of Use

Please take extra care to ensure that rooms are returned to their pre-condition and there is no damage to rooms, furniture, and equipment. Furniture and equipment may NOT be removed from classrooms. Rearranged furniture needs to be returned to its original set-up. If the Institute discovers that extra custodial service or repair to a room, furniture or equipment is required after your use of the room, you will be charged the associated fees.

Food and beverages are NOT permitted in any room except Tatum Lounge, Café A, and Café B.

Alterations to the space or building structure in any way (i.e. construction, hanging items, etc.) are not permitted.

Please be courteous to those using nearby spaces.

All Institute policies must be followed. Students who do not follow
the rules of use and Institute policies will not be able to schedule
and/or use Commons rooms.

Room Scheduling

All rooms are scheduled for a single Commons Time at a time on a first come, first served basis. You must meet the requirements listed for the room you are scheduling.

If you reserve a room and then are not able to use the space, please
notify the room scheduler so that another student may use the space.

Reservations may not be transferred to another student or group of students without permission of the room scheduler.

Requirements
: Submit a written proposal to Joann Govlya in care of the Art School’s Executive Committee by Wednesdays at 3:00p.m., one week in advance of requested date. The proposal should include how the room is to be used and by how many people.  Access to the space will be given by Security.

Requirements
: Because of the nature and expense of this equipment, this room can only be used for an event in which the public would attend (reading, small performance, etc.). A member of Critical Studies Faculty must be present.

: 3 large tables, 30 chairs, large wall-mounted blackboard and bulletin boards on two walls.
Requirements
: The room needs to be left with the tables pushed together in the middle of the room, ringed by at least half the chairs. The remaining chairs can be stacked or ring the walls. No eating or drinking in the space.  Email a space request to Carol Simon by Sunday at 6pm for the following week. She will reply via email to confirm or deny your request.

Dance Studios

A200, A201

Equipment
: L'Air sprung floors covered in seamless Lonstage. One mirrored wall and barres set into other three walls. Equipped with a set of 8 portable barres, a piano, sound and video playback equipment and power outlets for additional sound and video equipment.
Requirements: Sign and follow Dance Studio Rules for Institute Time Agreement. The signed form must be submitted to the Dance School the Friday (by 5pm) before the week you want to use the space. No pets are allowed in the studio.

Electronic Studios

To use the electronic studios, a member of the team must have
been trained and have authorization to use the room. To book the room, the authorized team member must contact Clay Chaplin. Deadline to book the studios is Tuesday at 4pm.

Dizzy Gillespie Digital Recording Studio (B308)

Room Description: Suite of rooms that function as a professional recording studio. The control room and live room have both been acoustically treated and tuned for optimal mixing and recording. The studio room is acoustically designed and isolated.

Equipment: Digital recording, editing, mixing, and processing using a ProTools HD 2 system on a fully loaded Mac Pro using a Digidesign C-24 control surface. Apogee AD-16X and DA-16X converters provide amazing sound quality along with Millennia HV-3D and Grace
MP-201 preamps for the front end. The room includes a Genelec 4.1
surround monitoring system using two pairs of Genelec 1032A monitors, a Yamaha 7-foot MidiGrand piano, Neumann, Schoeps, Sennheiser, AKG, Beyer, and Shure professional mics, 24 mixer feeds, a reconfigurable iso booth, and flexible headphone monitoring.

Electronics Studio (B303)

Room Description
: Mainly for students to work with custom electronics to create new interfaces for musical expression.

Equipment: The lab contains multiple professional electronics workstations complete with electronic components, tools, and a wide variety of test equipment for electronics debugging.

Digital Integrated Media Classroom (B305)

Equipment: Two iMac computers with the latest software for audio recording, editing, and mixing, DSP programming, and video editing. Contains an original Serge Modular Analog Synthesizer.

Film Screening Theaters

Labs

For use of the labs during the course of the school year, students
MUST attend the orientations given at the beginning of the fall
semester. If you think you may need to use the labs at some point during the school year, you MUST attend the fall orientations. Please see individual Art School labs for details and orientation sign ups. 

MacLab

Room Description
: Used for creating digital and print-based
work, including drawing, painting, photo manipulation, editorial design,
type design, 3-D rendering, motion graphics, sound design and Web, CD, and DVD authoring.

Equipment: Equipped with Mac workstations, black-and-white
high-resolution printers, video projectors, flatbed and slide scanners,
digital still and digital video cameras, and CD and DVD burners.  

Requirements: Attend the orientation and lab registration at the beginning of each semester (see posted times on MacLab door) and provide the Lab Director with a written proposal outlining needs of the space, materials, technology/software required and individuals involved. There will be a mandatory $25 fee per person/per semester to cover laser printing for letter and tabloid black and white prints during common time. Pay into Account # 13-06-25-10 and take receipt to lab director Shelley Stepp.

PrintLab

Room Description
: Used for producing multiples through silk-screening, etching, lithography or letterpress.

Equipment: Contains light tables, work tables, paper cutters, an exposure unit, and various presses. Features Mac and PC workstations.

Requirements: Attend the Lab orientation and pay a security deposit at the beginning of each school year and provide the Lab Director with a written proposal outlining needs of the space, materials, technology/software required and individuals involved. Security Deposit for the Print & Media Lab is $50 payable to account # 11-59-3. Schedules for orientations are posted in the Art Office, on Lab doors and various studios and other Labs around campus. There is no sign up for orientations. Print Lab director is Robert Dansby.

VideoLab

Room Description
: Equipment for time-based media production and post-production.

Equipment: Mac workstations with Final Cut Pro and Pro Tools are available for editing video, music, and sound. 

Requirements: Attend the orientation or time based studio and demonstrated proficiency in the use of all needed equipment. They must also pay the Video Lab deposit which is $50.00 payable to account # 13014500. A completion of one orientation or the Time Based Studio class grants student access to the Video Lab until graduation. Three first-come-first served (limit 12 students) 1 hour general orientations for the video lab will take place during lunch in
the beginning weeks of the Fall semester.  An additional 2 orientations
will take place similarly in the Spring and by appointment with Chris Peters. Notification of Orientation times will be posted around campus and the Art Office.  Non-Program in Art or Photo-Media students must attend one orientation and also submit a written project proposal for consideration to Chris Peters in advance of need.

SuperShop

Room Description
: Facilities for three-dimensional production, including the fabrication of robotic, kinetic, and interactive pieces.

Equipment: Features work areas and equipment for woodworking, metalworking, machining, mold-making, sand-blasting, and spraying. 

Requirements: Attend the orientation and lab registration at the beginning of each semester and provide the Lab Director, Alexandria Carrion with a written proposal outlining needs of the space, materials, technology/software required and individuals involved and pay any lab deposits that may be required. The Shop's $50 lab fee is paid into account #11-59-04. The student gets the deposit form once they have completed the mandatory safety orientation. The Shop's schedule is posted on the main entry doors of the Super Shop. Orientations can be signed up for in the Art Office where the dates and times of the orientation are also posted.

PhotoLab

Room Description
: Photography lab

Equipment: Equipment includes 31-inch capacity black and white processor, a 16-inch Cibachrome color processor, a 52-inch capacity color processor, black and white printing bays, color darkrooms, film developing rooms, a lighting studio, a copy room, a print finishing room, and an 8 by 10 inch color mural enlarger. The high-end film recorder enables output to digital images to slides and negatives in black-and-white and color. Features Mac workstations to support flatbed and film scanning, printing, Web design, CD and DVD authoring, and non-linear video editing.

Requirements: Attend the orientation and lab registration at the beginning of each semester and provide the Lab Director, Darrell Walters a written proposal outlining needs of the space, materials,
technology/software required and individuals involved and pay any lab deposits that may be required. All students pay a nominal/refundable
Damage/Loss deposit of $50.00.  Paid at the Accounting window, account #11-59-05.  Other access fees are associated with lab access procedures; an I.D. activation fee of $3.00 must be paid at the Accounting window, account #13-05-49-00.  Student access to equipment and production areas is contingent upon programmatic level within the Program In Photography and Media, the School of Art and Institute access is subject to approval by the Director and Associate Director of the Photography Lab.  The Photography Lab Orientation schedule is currently posted in the Art School Office and Photography Lab.

Black & White Film/Video Studio A404

:  39-foot by 37-foot studio.
Equipment
: Outfitted with a permanent hard cyclorama. Features a standard inventory of lighting and grid equipment.
Requirements
: Student must accept responsibility for the studio, equipment, and all materials brought into the studio for the project. No removing of equipment or alterations to the studio. Required (refundable) deposit $40 for presentations that are one week or less. Reserve room on Monday. Complete form and pay deposit to reserve space. Permanent Interior Set (C117)

Installation Space (C113)

Room Description:  Designed for exhibition of installation, performance, and other media work that is best suited for a gallery-like setting.
Requirements: Required (refundable) deposit $40 for presentations that are one week or less. Reserve room on Monday. Complete form and pay deposit to reserve space. Theater Rehearsal Spaces

F100, F100A, IRENE Annex

: Mirrors line one end of the room. Furnished with 20 chairs and 2 folding tables.
Requirements
: The space needs to be left with all furniture stacked and moved to the edges of the room. Please be careful not to damage the mirrors.  No eating or drinking in the space.  Don't use the rehearsal furniture.

Tatum Lounge (D213)
